Why Grantary

You shouldn’t need a $12,000 budget to track your grants

Grantary runs the whole grant lifecycle, from pipeline and deliverables to compliance and reporting, for $600 a year, flat, for everyone on your team.

Coming from a spreadsheet?

Most nonprofits track grants in a spreadsheet, and for a while it works. The question is what happens as the grants, deadlines and contacts add up, and what’s left when your central source of truth gets scattered. Here’s what changes when you switch to Grantary.

ReportingBuilt by hand using complex formulas and chart menus.Prebuilt reports, pulled in seconds, and easily printable.
Multi-year grantsRequire an entire different spreadsheet from your main grant deliverable tracker. Complex to maintain and build, especially with so much information going around.Dedicated section focused on revenue recognition per fiscal year. In addition to the payment tracking.
Getting startedEasy to start as everyone has access to a spreadsheet.Grantary does take some focus to get started. However, Grantary is built and ready to go, has a comprehensive Help Center and allows for a batch-import of your grant data, so moving over isn’t starting over.

If your spreadsheet is working and producing the outcomes you seek, there’s no rush. However, if the list above feels familiar, you may have outgrown your spreadsheet. Grantary is here to help.

What’s different

  • One price, everyone included

$600 a year for your whole organization. No per-seat pricing, no tier you have to reach before the feature you needed turns on. Your finance director and your ED can both have logins without it costing more. Prefer monthly? $60 a month, same terms.

  • Compliance is the point, not the upsell

Contract terms, grant periods, deliverables, payment schedules and revenue recognition are core features. On the platform most people compare us to, post-award tracking starts at $11,988 a year.

  • Built for grant seekers

Not a donor CRM bent into shape, and not a grantmaker platform pointed backwards. Every field exists because a grants person needed it.

  • Built by someone who does the work

I’ve worked in nonprofits since 2013, and I still do. Email support and you reach the person who built the product.

The longer answer

These are good products, and for some teams they’re the right answer. Here’s what each one is, and where I landed on it.

Instrumentl

Published pricing runs $299/month for up to 3 users, $499 for up to 5, and $999 for up to 15, billed annually. Post-award spend tracking and budget reporting are only on the $999 tier.

My take: It has a genuinely good prospecting tool. My problem is what it costs to reach the part I actually needed. The compliance and post-award tracking is thin. Their automated financial tracking sits behind the top tier, at $999 a month, just under $12,000 a year. And in my experience, an AI grant-writing assistant bolted into a platform rarely beats using a general AI tool like Claude or ChatGPT directly, which you’re probably already paying for.

Raiser’s Edge NXT

A donor fundraising CRM from Blackbaud. Pricing is quote-only; published estimates put it in the thousands to tens of thousands a year, plus implementation.

My take: It’s a serious piece of software, and it isn’t aimed at grants. Every grants team I’ve seen run on it was bending a donor database into a shape it didn’t want to take, which usually meant a consultant, or one very patient person who became the only one who understood it.

Salesforce

A general-purpose CRM platform, configured for nonprofits through add-ons and implementation partners.

My take: Same story as above, with more power and more setup. If you have the budget for an implementation partner and someone to own it internally, it can do almost anything. Most of the teams I worked with had neither.

Grantseeker

Two products under one name. Grantseeker Classic is the legacy platform: a free tier, then paid tiers at $25.99 and $64.99 a month, or $19.99 and $51.99 prepaid annually. Grantseeker Pro, on their newer platform, is the flagship, and it is quote-only after a sales demo.

My take: The price is fair. Its Classic tiers are the cheapest paid plans on this page, and there’s a free one — but they’re the intro. What I couldn’t get from it was a clear picture of my own data: the interface is a bit dated and busy, the product options are hard to tell apart, and I found myself hunting for things that should have been in front of me. The real pitch is Pro, which costs more than Classic, needs a demo and a quote, and is the only way to unlock everything the platform does.

When Grantary isn’t the answer

It’s a narrow product on purpose. Here’s what it deliberately doesn’t do, so you can rule it out quickly if that’s the right call.

  • No AI grant writer

There’s no AI assistant built in, on purpose. General-purpose AI tools are better at drafting than anything I could embed, and you can already use them. Grantary keeps track of what you owe and what you won. The writing stays yours.

  • No prospecting database

Grantary tracks the funders you know about. It does not sell you a list of new ones. Candid and a general AI tool such as Claude and ChatGPT will do more for your prospecting than a bundled feature, for less.

  • Not for grantmakers

Grantary is for organizations applying for money, not distributing it. If you run a foundation making grants, you want a different category of tool.

  • Not an all-in-one fundraising suite

Grantary does grants. Individual giving, events and direct mail belong in a donor CRM. If you need one system for all of it, that’s a real reason to look elsewhere.

  • Not your accounting system

Grantary tracks the grant side and exports clean figures for finance, but it doesn’t replace QuickBooks or your general ledger. If you’re looking for something to run your books, that’s a different tool.
