Terms of Service

Last updated: October 6, 2026

A quick note: Each section below opens with a short plain-language summary so the meaning is clear at a glance. The summaries are here to help; the full text of each section is what’s legally binding.

1. Agreement to Terms

In plain terms: By using Grantary, you’re agreeing to these terms. If you’re signing up on behalf of your organization, you’re confirming you’re allowed to.

By accessing or using Grantary ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms are entered into between you (and, if applicable, the organization you represent) and Grantary LLC ("Grantary," "we," "us," or "our"). If you accept these Terms on behalf of an organization, you represent that you have the authority to bind that organization.

2. Description of Service

In plain terms: Grantary helps your nonprofit keep everything about its grants — funders, deadlines, payments, reporting — in one place.

Grantary is a software platform that helps nonprofit organizations track and manage grant-related information, including funders, contacts, grants, deliverables, payments, and revenue recognition.

3. Accounts and Access

In plain terms: Use real details, keep your login safe, and know you’re responsible for activity under your account. Your admins choose who on your team can see and do what. You’ll always get essential account emails, reminder emails can be toggled in your settings, and you can unsubscribe from marketing emails anytime.
  • You must provide accurate information when creating your login credentials, and keep it current.
  • You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
  • Each subscribing organization ("Organization") may designate staff members with different permission levels (Admin, Standard, Read-Only). The Organization’s Admin(s) are responsible for managing who has access and for ensuring authorized users comply with these Terms.
  • Accounts must be registered and maintained by real people. You may not create accounts through automated means.
  • You must notify us promptly of any unauthorized use of your account.
  • By creating an account, you agree to receive essential account and service emails needed to operate the Service, such as sign-in confirmations, billing notices, security alerts, and notices about your account status. These cannot be turned off while your account is active.
  • We also send reminder emails (such as deadline reminders) to active accounts. You can turn these off in your Grantary user settings.
  • We may also send occasional product or subscription emails, which come only from Grantary. You can opt out of these at any time using the unsubscribe link in the email; opting out does not stop essential service emails.

4. Subscription and Payment

In plain terms: Start with a free 30-day trial — no card needed, and it never charges you on its own. You only pay if you choose to subscribe, which you can do during the trial or afterward, any time before your data is deleted. If you signed up by February 28, 2027, your founding rate stays locked for as long as you keep the account active. Any future price change comes with at least 30 days’ notice by email. Taxes aren’t included, and tax-exempt orgs can send a certificate.
  • Grantary includes a 30-day free trial that does not require a credit card. Because no payment method is collected for the trial, it does not automatically convert to a paid plan, and you are not charged when it ends. If you do not subscribe, your account becomes read-only at the end of the trial rather than being deleted, and you can subscribe at any time before your data is deleted (see "Termination").
  • To start a paid subscription, an Organization Admin selects a plan and provides a payment method. You can do this during the trial or while your account is read-only. Billing begins when you subscribe, not before.
  • Paid subscriptions are billed monthly or annually in advance at the price shown at signup or on our pricing page, and renew automatically until cancelled (see "Automatic Renewal and Cancellation").
  • Fees are non-refundable except as required by law or as otherwise stated here. If you cancel partway through a billing period, you keep access until the end of that period; we do not provide prorated refunds for the unused portion.
  • Prices are exclusive of taxes. You are responsible for any sales, use, or similar taxes associated with your subscription, except for taxes based on our net income. Where we are required to collect such taxes, we will add them to your invoice. If your Organization is tax-exempt, provide valid exemption documentation and we will not charge tax we are not required to collect.
  • We may change pricing with at least 30 days’ notice, sent by email or shown in the Service. Continued use of the Service after a price change takes effect constitutes acceptance of the new price.
  • As an exception to the preceding paragraph, organizations that create a Grantary account on or before February 28, 2027 pay a founding rate of $60 per month (or $600 per year) when their free trial converts to a paid subscription, and we will not increase that rate for as long as the subscription remains continuously active. If the subscription lapses, or is cancelled and later restarted, the rate in effect at that time applies.
  • If payment fails and is not resolved, your subscription lapses and your account becomes read-only, then follows the deletion timeline in "Termination."

5. Automatic Renewal and Cancellation

In plain terms: Paid plans renew on their own (monthly or yearly) until you cancel. Stripe handles the charge. You can see, change, or cancel your subscription any time in Billing under your organization’s settings (admins only), and cancelling simply stops the next renewal.
  • Paid subscriptions renew automatically at the end of each billing term (monthly or annually), matching the plan you chose until you cancel. Your founding rate, if you qualify for it, carries through renewals as described above.
  • Renewal payments are processed by Stripe, our payment processor, which charges the payment method on file at the start of each new term.
  • You can view your subscription, update your payment method, change plans, or cancel at any time in the Billing area of your organization’s settings. Only Organization Admins can manage billing.
  • When you cancel, your subscription does not renew again; it remains active until the end of the current term. See "Termination" for what happens to your data afterward.

6. Your Data

In plain terms: Your data is yours. I don’t own it and I won’t sell it. I only use it to run Grantary for you, and that permission ends the moment your data is deleted.
  • You retain ownership of all data you input into Grantary ("Customer Data"), including funder information, grant records, and any files you upload.
  • We do not claim ownership of Customer Data and will not sell it.
  • You grant us a limited, non-exclusive license to host, store, process, transmit, display, and back up Customer Data solely as needed to operate, secure, and support the Service. This license exists only for that purpose and ends when the data is deleted from the Service.
  • You are responsible for the accuracy of the data you enter and for complying with any legal or contractual obligations related to that data (e.g., your own obligations to funders or donors).
  • You represent that you have the right to provide the Customer Data you upload and that doing so does not violate any law or the rights of others.
  • You are responsible for maintaining any copies of your data you require for your own recordkeeping outside of Grantary.

7. Acceptable Use

In plain terms: Don’t use Grantary for anything illegal, don’t try to reach another organization’s data, and don’t copy or overload the system. Normal, good-faith use is all I ask.

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable law or regulation.
  • Attempt to gain unauthorized access to another Organization’s data or to the Service’s underlying infrastructure.
  • Upload malicious files, or files containing content you do not have the right to upload.
  • Attempt to reverse-engineer, resell, white-label, or create derivative works from the Service without our written permission.
  • Use automated means to scrape or harvest data from the Service, or otherwise use the Service in a way that could disrupt or overburden it.

We do not routinely monitor Customer Data, but we may remove content or suspend access if we become aware of content that is unlawful or that violates these Terms.

8. Intellectual Property

In plain terms: You own your data; I own the software that runs Grantary. You’re free to use it while you’re subscribed — just don’t copy or resell the product itself.

Grantary owns all rights in the Service, including its software, design, branding, and content, other than Customer Data. We grant you a limited, non-exclusive, non-transferable right to access and use the Service during your subscription, subject to these Terms. You may not copy, sell, resell, or exploit any part of the Service without our written permission. If you choose to share feedback or suggestions about the Service, we may use them without any obligation to you.

9. Service Availability

In plain terms: I work hard to keep Grantary up, but I can’t promise zero downtime, and there’s no formal uptime guarantee yet. I’ll warn you about planned maintenance when I can.
  • We aim to keep the Service available and reliable but do not guarantee uninterrupted access. We may perform maintenance, and the Service may be temporarily unavailable as a result.
  • We do not currently offer a service-level agreement (SLA).
  • We are not liable for any loss caused by downtime, though we will make reasonable efforts to minimize it and to notify users of planned maintenance where practical.

10. Data Backups

In plain terms: I back your data up, but no system is perfect — so keep your own copies of anything critical, just in case. This can be accomplished through routine exports of your data.
  • We take reasonable measures to back up data, but you acknowledge that no system is failure-proof. You are encouraged to maintain your own copies of critical records.

11. Termination

In plain terms: Cancel anytime; you keep access through the period you’ve already paid for. When access ends, your account goes read-only — you can still log in and export to CSV — before anything is deleted: 30 days if you cancel, or 12 months if a subscription lapses or a trial ends without subscribing.
  • You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period (for annual plans, at the end of the current annual term). No refund or proration is provided for the remaining period.
  • We can act on cancellation or account instructions only from the Organization’s Admin(s) or account owner, not from other parties.
  • We may suspend or terminate access if these Terms are violated, if payment is not received, or if we discontinue the Service, with reasonable notice where possible.
  • When your access ends — whether your trial expires, you cancel, or your subscription lapses — your account first becomes read-only rather than being deleted right away. During the read-only period you can still log in, view your records, export them to CSV, and subscribe (or resubscribe) to restore full access, up until deletion.
  • How long we keep your data before permanent deletion depends on how access ended: 30 days if you cancel a paid subscription, and 12 months if your subscription ends for non-payment or your free trial ends without your subscribing.
  • At the end of that period, we permanently delete all data associated with your account and organization — including funders, grants, deliverables, contacts, payments, revenue records, notes, staff and login records, and uploaded files. The only exceptions are a minimal do-not-contact record kept with our email provider to honor your unsubscribe and prevent further emails, and anything we are required to retain by law. You are responsible for exporting anything you want to keep before then.

12. Disclaimers

In plain terms: Grantary helps you track grants — it isn’t legal, financial, or accounting advice, and it’s provided “as is.” Check anything important before relying on it.

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE ERROR-FREE OR UNINTERRUPTED.

Grantary is a tool to help track grant information. It is not a substitute for professional legal, financial, tax, or accounting advice, and we are not responsible for decisions made based on data entered into or reports generated by the Service.

13. Limitation of Liability

In plain terms: If something goes wrong, my liability is capped at what you’ve paid in the past year. That cap is standard, and it keeps a single issue from turning into an open-ended claim.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, GRANTARY SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, REVENUE, OR PROFITS, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM RELATED TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.

Some jurisdictions do not allow certain limitations of liability, so some of the above may not apply to you.

14. Changes to the Service or These Terms

In plain terms: These terms may change over time. If a change matters, I’ll tell you by email or in the app before it takes effect.

We may update these Terms or the Service from time to time. We will provide notice of material changes (e.g., via email or an in-app notice). Continued use after changes take effect constitutes acceptance.

15. General

In plain terms: The standard legal fine print: if one part doesn’t hold up, the rest still applies, and these terms plus the privacy policy are our full agreement.
  • Assignment: You may not assign these Terms without our consent. We may assign these Terms in connection with a merger, acquisition, financing, or sale of our assets.
  • Entire Agreement: These Terms, together with our Privacy Policy, are the entire agreement between you and Grantary regarding the Service and supersede any prior agreements on that subject.
  • Severability: If any provision of these Terms is found unenforceable, the remaining provisions stay in effect.
  • No Waiver: Our failure to enforce a provision is not a waiver of our right to enforce it later.

16. Governing Law

In plain terms: If there’s ever a legal dispute, California law applies and it’s handled in California courts.

These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles, unless otherwise required by applicable law. The state and federal courts located in California have exclusive jurisdiction over any dispute arising from these Terms, except where applicable law provides otherwise.

Privacy Policy

Last updated: October 6, 2026

A quick note: Each section below opens with a short plain-language summary so the meaning is clear at a glance. The summaries are here to help; the full text of each section is what’s legally binding.

1. Introduction

In plain terms: This explains what Grantary collects, how I use it, and how I protect it — plainly, and without buried surprises.

This Privacy Policy explains how Grantary LLC ("Grantary," "we," "us," or "our") collects, uses, and protects information when you use our software platform (the "Service"). By using Grantary, you agree to the practices described here.

This policy also covers information we collect when you subscribe to email updates on our website, whether or not you have a Grantary account.

2. Information We Collect

In plain terms: I collect your account details, whatever grant information you choose to enter, and basic technical logs. Payments go straight to Stripe — I never see or store your card number. Please don’t put sensitive personal data into Grantary. If you sign up for email updates on the website, I collect just your email address, plus your first name and organization if you choose to share them.

Account information. When you or your organization sign up, we collect names, email addresses, and organization details.

Customer Data you enter into the Service. This includes information you choose to store in Grantary, such as funder details, contact information for funder representatives, grant details, financial information (requested/awarded amounts, payments, revenue recognition records), deliverable and compliance details, and any files you upload.

Billing information. Payments are processed by Stripe, our payment processor. Payment card details are collected directly by Stripe and are never transmitted through or stored on Grantary’s systems. Stripe also collects your billing address to process payments and help prevent fraud.

Usage and device information. We automatically collect limited technical information, such as IP address, log-in timestamps, browser type, and general usage patterns, to help us operate, secure, and improve the Service and to detect and prevent fraud or abuse.

Support communications. If you contact us for support, we keep those communications so we can respond and maintain a record of the request.

Email updates. If you subscribe to email updates on our website, such as announcements of new guides or product updates, we collect your email address, the page you subscribed from, and when you subscribed and confirmed, and, if you choose to give them, your first name and organization. You do not need a Grantary account to subscribe. To prevent abuse of the sign-up form, we also keep a one-way scrambled (hashed) record of the network address and email address used for each sign-up attempt, and delete it within 24 hours.

We do not intentionally collect sensitive personal information about individuals (such as health information or government ID numbers) through Grantary, and you should not enter such information into the Service.

3. How We Use Information

In plain terms: I use your information to run Grantary, keep it secure, support you, and process payments. Once in a while I may email you about subscribing or product news — always from me, and you can opt out anytime. I don’t sell your information, share your email with outside marketers, or use it for advertising. If you subscribe to email updates, I only email you after you confirm, and you can unsubscribe in one click.

We use collected information to:

  • Provide, maintain, and improve the Service.
  • Authenticate users and enforce access permissions.
  • Communicate with you about your account, updates, or support requests.
  • Send occasional product news and promotional emails — for example, inviting you to subscribe after a trial. These come only from Grantary, never a third-party marketer, and you can opt out at any time (see "Your Choices and Rights").
  • Send email updates to people who subscribe on our website, such as announcements of new guides and product updates, and a one-time welcome email about Grantary. We add you to this list only after you confirm through the link in our confirmation email, and every update includes an unsubscribe link.
  • Process payments through Stripe (Grantary does not receive or store your full payment card details).
  • Monitor for security issues, fraud, abuse, or violations of our Terms of Service.

We do not sell your data or your Customer Data to third parties, we do not share your email address with outside marketers, and we do not use your information for advertising.

4. How Information Is Stored and Protected

In plain terms: Your data is stored in the United States on trusted providers (Supabase and Vercel), encrypted both in transit and at rest, and separated so no organization can ever see another’s. No system is perfectly secure, but this is built carefully.
  • Customer Data is stored using Supabase, a third-party database and authentication provider, and the Service is hosted on Vercel, a third-party hosting provider. Both providers maintain their own security and privacy practices.
  • Customer Data is stored in the United States.
  • Each Organization’s data is logically separated from other Organizations’ data through database-level access controls (Row Level Security), so that one Organization cannot access another’s records through the Service.
  • Data is encrypted in transit (via TLS/HTTPS) and at rest.
  • We restrict internal access to Customer Data to what is necessary to operate and support the Service.
  • No method of storage or transmission is 100% secure, and we cannot guarantee absolute security.

5. Data Retention

In plain terms: I keep your data while your account is active. When access ends, your account goes read-only so you can still export to CSV — for 30 days if you cancel, or 12 months if a subscription lapses or a trial ends — then all your data is permanently deleted.
  • We retain Customer Data for as long as your account is active, or as needed to provide the Service.
  • When your access ends, your account becomes read-only before any data is deleted. During this period you can still log in and export your data to CSV. We keep your data for 30 days if you cancel a paid subscription, and for 12 months if your subscription ends for non-payment or your free trial ends without subscribing.
  • At the end of the applicable period, we permanently delete all data associated with your account and organization, including staff and login records. The only data we may keep is a minimal do-not-contact record with our email provider (Resend) — your email address on a suppression list — to honor your unsubscribe and prevent further emails, plus anything we must retain by law.
  • Email update subscribers: we keep your email address for as long as you stay subscribed. If you unsubscribe, we keep only a do-not-contact record with Resend to honor that choice. Sign-ups that are never confirmed are never added to our list, and the scrambled records used to prevent abuse are deleted within 24 hours.
  • Archived records (e.g., archived Funders or Grants) remain stored but hidden from normal views, per the Service’s design, until deleted by an Organization Admin or upon account termination.

6. Sharing of Information

In plain terms: I don’t sell your data. It’s only shared with the vendors that make Grantary work (each under a data protection agreement) or when the law requires it. If Grantary were ever sold, I’d tell you before your data moved.

We do not sell Customer Data. We may share information only:

  • With the service providers named below, who help us operate the Service under obligations to protect it.
  • If required by law, subpoena, or legal process.
  • To protect the rights, property, or safety of Grantary, our users, or others.
  • In connection with a business transfer. If Grantary is involved in a merger, acquisition, financing, or sale of all or part of its assets, Customer Data may be transferred as part of that transaction. We will notify you (by email or an in-app notice) before your data becomes subject to a different privacy policy.

These are the service providers we use, and what each one does:

  • Supabase — database, authentication, and storage of files you upload.
  • Vercel — application hosting and content delivery.
  • Resend — delivery of account and product email (such as sign-in confirmations, password resets, deadline reminders, and occasional subscription or product updates), and of email updates to people who subscribe on our website. For subscribers, the contact record holds the email address, the page they subscribed from, when they subscribed, and any first name and organization they chose to give. We keep a contact record with Resend — your email address, organization, and role — to send and manage these emails; if your account is deleted, this record is retained only as a do-not-contact entry.
  • Stripe — subscription billing and payment processing. Card details are handled directly by Stripe and are not stored on our systems.

Each provider is engaged under a data processing agreement (DPA) that requires it to protect Customer Data and use it only to provide services to us. We update this list when a provider is added or removed.

7. Your Choices and Rights

In plain terms: You can see, correct, export, or delete your data — just ask. Unsubscribe from marketing emails anytime, toggle reminder emails in your settings, and you’ll always get the essential account ones. Depending on where you live, you may have extra privacy rights, and I’ll honor them.
  • You may access, update, or correct your account information at any time within the Service.
  • Product, promotional, and email-update emails: unsubscribe at any time using the link in those emails or by contacting us.
  • Reminder emails (such as deadline reminders): turn these on or off in your Grantary user settings.
  • Essential service emails (such as billing, security, and notices about your account status, including data deletion): these are required to operate your account and cannot be turned off while it is active.
  • You may request export or deletion of your Organization’s data by contacting us, subject to any retention obligations described above. Deleting your data may limit or end your ability to use the Service.
  • Depending on your location, you may have additional rights under applicable privacy laws (such as the right to know what data is collected, or to request deletion). Contact us to exercise these rights.

8. Children’s Privacy

In plain terms: Grantary is for working professionals, not children under 18, and I don’t knowingly collect their information.

Grantary is intended for use by adult professionals in a business context and is not directed at, or intended for use by, children under 18. We do not knowingly collect information from children.

9. Cookies and Tracking

In plain terms: Just the basics needed to keep you logged in. No advertising cookies, and no third-party trackers following you around.

Grantary may use minimal cookies or similar technologies necessary for login sessions and basic functionality. We do not use advertising cookies or third-party ad trackers.

10. Changes to This Policy

In plain terms: If this policy changes in a meaningful way, I’ll let you know before it takes effect.

We may update this Privacy Policy from time to time. We will provide notice of material changes (e.g., via email or an in-app notice). Continued use of the Service after changes take effect constitutes acceptance of the updated policy.

11. Contact Us

In plain terms: Questions about your privacy or your data? Email me directly.

Questions about this Privacy Policy, or requests regarding your data, can be directed to: michael@grantary.app
