Know where every funder stands

This month I spent most of my time on funders. One of the questions I hear most is some version of “Have they funded us lately?” Grantary can now answer that for you. Every funder has a Status, and you don’t have to set it yourself. Grantary looks at the grants you’ve won and marks the funder Active if they’ve funded you this fiscal year or last, Past if it was before that, and Prospect if they haven’t funded you yet. A multi-year grant counts for every year it runs, so a funder on a three-year award stays Active the whole time.

The field you do set yourself is now called Relationship, and it has a new option: Watching. It’s for funders you’ve got your eye on but aren’t ready to approach yet, whether you plan to look into them, cultivate them, or apply later. That frees up Not Pursuing to mean what it says: you’ve looked into a funder, maybe cultivated them or even applied, and decided not to go any further. Keeping them in Grantary means the next person will know the decision was made, and why.

I also added a place to record how a grant actually turned out. Next to the outcomes your contract promised, you can now write down what you delivered and mark whether you met them. When a funder or your board asks what came of a grant, the new Contract compliance search can find it across every award you’ve had.

New6
  • Every funder now shows a Status (Active, Past, or Prospect), worked out from the grants you’ve won.
  • Watching is a new Relationship option for funders you plan to come back to.
  • Each grant now has space for what you actually delivered, and whether you met its outcomes.
  • Contract compliance search looks through promised outcomes, actual outcomes, and communications requirements on every grant you’ve been awarded, past ones included.
  • There’s a free grant tracking spreadsheet in Resources, with a guide to using it. When you’re ready to switch, it imports straight into Grantary.
  • You can now sign up to get new guides and product updates by email, from Resources, What’s New, or the bottom of any page.
Improved7
  • When you add a grant, its Type fills in from the funder’s Status: Renewal, Lapsed, or New.
  • Relationship Status is now simply called Relationship.
  • Funder retention, the Board summary, and the Funders report now include archived grants, so you see a funder’s whole history.
  • You can leave Assigned To blank on a deliverable, which helps with older records where nobody owns the work anymore. Just know that unassigned deliverables don’t send reminders.
  • You can hide the Owner column on the Grants table.
  • Grantary now says “funder” everywhere it used to say “account” for one.
  • Forms work better with screen readers. Every field is announced by its label, and clicking a label puts your cursor in the field.
Fixed3
  • Clicking New while editing a record no longer opens a form filled in with the record you were editing.
  • The dropdowns in the free spreadsheet now work in Google Sheets.
  • Reminder emails no longer start a new sentence right after “Hi,” for example “Hi Elena, this one’s assigned to you.”

Reports, rebuilt

September was mostly about reporting. I went through every report with one question in mind: does it answer something a grant professional actually gets asked? The result is fewer, clearer reports, plus a few new ones.

The most impactful addition is the Board summary: your fiscal year on one page, with what’s been awarded, how many grants you’ve won, what’s still open, what’s been received, and what’s coming up in the next 90 days. It prints cleanly, so you can bring it straight to a board meeting.

Also new this month: Batch deliverables. When a grant is awarded, you can add all of its deliverables in one step instead of one at a time. Start from the post-award template and you get the thank-yous, the grant agreement, quarterly check-ins, and the final report, each dated from the award. Find it under the New button.

New8
  • Board summary: your fiscal year on one printable page.
  • Grant timeline by program: every grant as a bar on a timeline, grouped by program, viewed by fiscal year, quarter, month, or week.
  • Funder retention: which funders are retained, new, returned, or lapsed in a fiscal year, and your retention rate.
  • Grant win analysis: your win rate and average award, overall and for each funder you’ve applied to.
  • Deadlines: grant decisions, deliverables, and payments, either overdue or due in the next 90 days. It replaces the Upcoming and Overdue reports.
  • Batch deliverables: add several deliverables to one grant at once, starting from a post-award template. Find it under the New button.
  • Print PDF on funder and grant pages, laid out as a clean record.
  • A fiscal-year snapshot on Home, beside the calendar: awarded, grants won, and deliverables done so far this year.
Improved12
  • The Grants report is one page with an All, Budgeted, Pipeline, and Prospects toggle.
  • Projected and awarded totals lead with the dollar amount, with a short definition on hover.
  • Report names say what each one covers, and the Reporting page is a sortable table.
  • Reports are readable on a phone, and wide tables keep their scrollbar at the bottom of the window.
  • The Funders report shows total grants and grants awarded for each funder.
  • Clicking a month in the Home heatmap turns the calendar to that month.
  • Every date field opens a calendar picker.
  • Deleting a grant, funder, or deliverable tells you about its attachments and removes them with it.
  • Invitations ask before adding someone to your organization.
  • Admins can change a teammate’s sign-in email from their staff record.
  • Top-bar search works with the arrow keys.
  • The importer catches State and ZIP values that are too long, and names that match two existing records, before anything is saved.
Fixed7
  • Home no longer scrolls sideways on a phone.
  • Stage pills no longer overlap the amount beside them in a narrow window.
  • A deactivated assignee no longer blocks editing a deliverable.
  • Grant and deliverable forms keep a deactivated owner or archived funder in the list instead of dropping it.
  • A reminder email that fails to send is retried, and never sent twice.
  • Returning from Stripe lands you on the Billing tab.
  • The New menu closes when you click anywhere outside it.
